Privacy Policy

1. Information We Collect

We collect the following categories of information when you use ClearProp:

  • Account Information: Name, email address, phone number, and login credentials provided during account creation
  • Pilot Profile: Pilot certificate number, certificate type, ratings, and endorsements
  • Medical Information: FAA medical certificate class and expiration date, used solely for currency tracking
  • Flight Records: Reservation history, flight times (Hobbs/tach), checkout entries, and flight log data
  • Billing Information: Transaction history, account balances, and payment records. Payment card details are processed and stored exclusively by Stripe and are never stored on ClearProp servers
  • Documents: Files you upload to the document library, including aircraft documents, club records, and receipts
  • Usage Data: Browser type, device information, and general usage patterns to improve the platform

2. How We Use Your Information

We use your information to:

  • Provide and maintain the ClearProp platform and its features
  • Process aircraft reservations and scheduling
  • Track pilot currency and display compliance status to club administrators
  • Generate invoices and process billing transactions
  • Send in-app notifications about reservations, billing, and club announcements
  • Communicate important service updates
  • Ensure platform security and prevent unauthorized access

3. How We Share Your Information

Within Your Flight Club:Your profile information, pilot currency status, flight records, and account balance are visible to your club's administrators and, where applicable, to other club members as part of normal club operations (e.g., the schedule shows your name on your reservations).

Service Providers: We use the following third-party services to operate ClearProp:

  • Supabase — Database hosting, authentication, and file storage
  • Vercel — Application hosting and deployment
  • Stripe — Payment processing (Stripe's privacy policy governs payment data)

These providers act as data processors and only access your information as necessary to provide their services.

We do not sell your personal information to third parties. We do not share your information with advertisers or data brokers.

4. Aviation-Specific Data

ClearProp stores aviation-specific data including pilot certificates, medical certificate information, flight review dates, endorsements, and aircraft maintenance records. This data is used exclusively for club management purposes such as currency tracking, scheduling eligibility, and regulatory compliance assistance.

Medical certificate information is limited to certificate class and expiration date. We do not collect or store detailed medical records, conditions, or examination results.

5. Data Retention

We retain your information for as long as your account is active or as needed to provide services. Flight records and billing history are retained for the duration of your club membership and for a reasonable period afterward to support accounting and regulatory requirements.

If you request account deletion, we will remove your personal information within 30 days, except where retention is required by law or necessary for legitimate business purposes (e.g., financial records).

6. Data Security

We implement industry-standard security measures to protect your information, including:

  • Encrypted data transmission (TLS/HTTPS) for all connections
  • Row-level security (RLS) policies ensuring users can only access data within their organization
  • Secure authentication with email verification
  • Private storage buckets with signed URL access for uploaded documents
  • Service-role separation between client and administrative database access

While we take reasonable precautions, no method of electronic storage or transmission is 100% secure. We cannot guarantee absolute security of your data.

7. Your Rights

You have the right to:

  • Access your personal information stored in ClearProp through your profile and account settings
  • Correct inaccurate information by updating your profile or contacting your club administrator
  • Delete your account by requesting removal through your club administrator or by contacting us directly
  • Export your flight records and billing history through the available export features

8. Children's Privacy

ClearProp is not intended for use by anyone under the age of 18. We do not knowingly collect personal information from children. If we become aware that we have collected information from a person under 18, we will take steps to delete that information promptly.

9. Third-Party Links

ClearProp may contain links to third-party websites or services, including aviation weather providers, FAA resources, and payment processors. We are not responsible for the privacy practices of these external sites. We encourage you to review the privacy policies of any third-party services you access through ClearProp.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify users of material changes by posting a notice within the application. Your continued use of ClearProp after changes are posted constitutes acceptance of the revised policy.

11. Governing Law

This Privacy Policy shall be governed by and construed in accordance with the laws of the State of Texas, without regard to its conflict of law provisions.
